About the Role
In this role, you will provide administrative support to facilities operations by coordinating maintenance activities, assisting with service contract management, and maintaining accurate and up-to-date records. You will ensure documentation, tracking systems, and communication processes are well organized to support the safe, efficient, and compliant operation of buildings, grounds, and essential services.
Key responsibilities include compiling, reviewing, and organizing documentation required for contract packages prior to government submission; maintaining tracking systems for contracts; performing accurate data entry and record maintenance; preparing and processing purchase requests, work orders, and funding documentation; providing administrative support for project tracking; maintaining organized filing systems; coordinating and documenting service agreements; performing general administrative duties; and assisting in the coordination and documentation of service contracts.
We're looking for someone with experience in facilities, operations, contract support, or a similar field, strong organizational skills, comfort working with spreadsheets, databases, and Microsoft Office tools, the ability to review data and communicate clear recommendations, and the ability to write clear emails and basic reports related to maintenance or operations. Experience with systems like GFEBS/SAP is helpful, and background working with the U.S. Army Reserve or military facilities is highly preferred.
Requirements include an associate degree (preferred but not required, relevant experience will be considered), at least 57 years of related experience, a valid driver's license, and the ability to pass a background check.
This is a support role with no direct supervisory responsibilities. You'll collaborate with facilities teams, project staff, and government stakeholders to help keep operations running efficiently.
