Description

The Product Support Associate is accountable to provide a broad range of administrative, planning, and coordination support to the corporate product support department in the areas of process documentation, report generation and analysis, and related administrative/clerical activities and tasks.

  • Provide advanced level and diversified administrative and clerical support and coordination to the department. Therein, prepare process documentation, generate data extracts, gather source data and perform research needed to produce a variety of periodic and ad hoc reports, presentations, communication, and support the execution of a wide variety of special projects.
  • Monitor, track, and maintain department-related employee training compliance and administration.
  • Serve as primary backup to the corporate receptionist during shift breaks and periods of absence. Receive, greet, and direct telephone callers and incoming visitors to the appropriate party.
  • Sort and distribute daily incoming mail from the post office and intercompany transfer. Sort, bundle, and prepare daily outgoing mail for delivery to the post office, intercompany, and express mail delivery. As needed, take certified/priority outgoing mail to the post office to obtain delivery receipt.
  • Prepare the department's accounts payable invoices for approval/payment. Audit and reconcile reports of cash box activity for the company's branch parts locations.
  • Assist in the planning and coordination of department-related customer and training-related functions and events. Coordinate travel planning for members of the department.
  • Maintain positive working relationships and effective communication with all internal and external customers and Caterpillar personnel.
Qualifications
  • High school diploma or GED equivalent required; associate or bachelor's level degree is highly preferred.
  • Minimum 2-4 years of combined work experience as an administrative coordinator in a corporate office environment supporting multiple managers.
  • Seasoned proficiency with MS Office applications (Word, Excel, Outlook, PowerPoint) and high comfort level extracting, analyzing, and compiling data.
  • Refined verbal, written, interpersonal, and customer service skills.
  • Refined articulate and professional telephone communication skills.
  • Refined problem-solving skills, detail oriented, and ability to work with a high level of accuracy.
  • Able to work collaboratively with all branch personnel and perform duties with a sense of urgency, exceeding customer expectations.
  • Ability to multi-task and work effectively in a dynamic fast-paced service environment.
  • Current valid driver's license; have and maintain a driving record (MVR) which adheres to the company's motor vehicle policy standards.
  • Ability to work a standard five-day work schedule with the flexibility to work additional unscheduled hours as necessary.
