Manager, Marketing & IP Paralegal for Legal Heartland Dental has an exciting opportunity to join our Legal Team. As a Marketing & IP Paralegal at Heartland Dental, you must be capable of handling a substantial workload in a fast‑paced, dynamic in‑house legal department. This role supports marketing initiatives by helping ensure legal and regulatory compliance while partnering closely with marketing stakeholders. The ideal candidate is detail‑oriented, proactive, service‑focused, and able to exercise sound judgment in a high‑volume review environment. The Marketing & IP Paralegal plays a critical role in supporting marketing activities, protecting the Heartland Dental brand and the brand of supported offices/doctors, and mitigating legal risk related to marketing, promotions, and intellectual property matters. Heartland Dental is the nation's largest dental support organization, providing non‑clinical administrative support services to more than 3,000 supported doctors across 39 states and the District of Columbia in 1,900+ dental offices. Each Heartland Dental supported office is unique to the community and the patients they serve. Supported doctors are the clinical leaders of their practice, retain full clinical autonomy, and establish their own care philosophies. All Heartland Dental supported doctors are united by a common goal: delivering the highest quality dental care and patient experiences. To give you an idea of the team structure, you will work on a team with other paralegals focusing in different practice areas reporting to the Director, Legal Support Services. Below is an overview of the key duties and responsibilities associated with this position: Legal review and strategy support for marketing materials, including print, digital, social media, promotions, and public communications, to help mitigate legal and regulatory risk. Help ensure compliance with federal and state advertising, consumer protection, and privacy laws, including substantiation, disclosures, and claim review. Partner with marketing teams to provide practical, business‑focused guidance while maintaining legal and compliance standards. Strategically manage trademark and brand‑protection efforts, including conducting and coordinating trademark clearance searches, assisting with filings, renewals, and maintenance, and helping manage trademark enforcement matters. Evaluate trade names and branding proposals to identify potential conflicts and regulatory sensitivities. Serve as an initial point of contact for intellectual property questions arising from marketing initiatives, branding activities, trade names, and asset transactions, and support the development and consistent application of intellectual property best practices. Maintain and update marketing and brand legal review processes, templates, and guidance materials to promote consistency and efficiency. Track and manage marketing and trademark legal matters, approvals, and documentation using established systems and workflows. Identify potential legal, regulatory, and brand‑related risks and elevate issues to legal counsel as appropriate, offering recommendations and options. Collaborate with the Legal Team on the development of scalable processes, tools, and resources to support marketing‑related legal reviews. Assist with special projects, reports, presentations, and other support tasks for the Legal Department as needed. Minimum Requirements Paralegal certificate or equivalent combination of education and relevant experience. Five or more years of paralegal experience, with significant experience supporting marketing, advertising, or intellectual property matters. Strong understanding of advertising and marketing legal principles, including consumer protection and intellectual property concepts. Experience working closely with marketing, brand, or communications teams. Experience managing high‑volume legal reviews in a fast‑paced environment. Ability to exercise sound judgment, manage competing priorities, and work independently with minimal supervision. Excellent written and verbal communication skills, with the ability to explain legal concepts in clear, practical terms. High attention to detail and strong organizational skills. Proficiency with standard business and legal technology tools, including Microsoft Word, Outlook, Excel, and PowerPoint. Desirable Qualifications Experience supporting in‑house legal teams and working in or supporting highly regulated industries, including healthcare or professional services. Physical Requirements Ability to perform essential duties satisfactorily with or without reasonable accommodation.
