About the Role
Document Control Specialist
Objectives & ResponsibilitiesTo maintain organized, accurate, and up-to-date documentation for the company by efficiently processing all project deliverables and ensuring timely, compliant communication between the company, clients, and vendors.
- Support basic document control activities under close supervision.
- Maintain organized and accurate project documentation.
- Assist with processing incoming and outgoing correspondence.
- Manage routine document control tasks independently.
- Ensure documents meet formatting and procedural requirements.
- Handle full document control responsibilities for small to mid-size projects.
- Serve as primary point of contact for project documentation.
- Lead document control activities for complex or multi-discipline projects.
- Provide guidance to junior DC staff.
Activities
- Upload documents into the EDMS.
- Perform basic metadata entry and quality checks.
- Distribute documents to internal teams as instructed.
- Process transmittals and correspondence.
- Track document status and follow up with stakeholders.
- Maintain project folders and metadata accuracy.
- Manage project MDL/MDR.
- Coordinate document reviews between internal teams, clients, and vendors.
- Prepare project status reports.
- Oversee document workflows, transmittals, and approvals.
- Manage large MDLs and ensure alignment with engineering deliverables.
- Support audits and quality checks.
Processes
- Follow established procedures for transmittals, filing, and naming conventions.
- Support routine workflows and document routing.
- Apply document numbering, revision control, and distribution rules.
- Support project workflows and approval cycles.
- Execute workflows, revision cycles, and distribution matrices.
- Ensure compliance with contract requirements.
- Implement project-specific procedures.
- Optimize workflows and identify process improvements.

Education
Minimum: High School Diploma plus at least 3 years Document Control management experience.
Preferred: Bachelor's Degree in a field related to process management, compliance or coordination (e.g., Engineering, Business Administration, Information Management, Quality Assurance, Human Resources).
Work Environment
Hybrid schedule: In-office Tuesday, Thursday, and 2nd & 4th Fridays of the month. Schedule may change based on business needs.
